Job Description
Sr. Operation Officer Job Purpose:
The Operation Office plays a crucial role in overseeing the day-to-day operations of Spark Group, with a specific focus on vehicle management for both B2B and B2C customers. This position requires managing various tasks related to driver management, document verification, invoicing, payment follow-up, and other operational activities. The Operation Office Manager ensures efficient and effective operations to provide a seamless experience to customers and maintain a high level of service quality.
Sr. Operation Officer Job Responsibility:
Vehicle Arrangement:
- Coordinate and manage the fleet of rental vehicles, ensuring availability and readiness for B2B & B2C customer rentals.
- Maintain accurate records of vehicle inventory, including maintenance history, fuel levels, and other relevant details.
- Collaborate with the maintenance team to schedule routine inspections, repairs, and servicing of rental vehicles.
- Coordinate with suppliers for new vehicle purchases or lease agreements as per business requirements.
Collaboration with Vendor Acquisition Team:
- Work closely with the Vendor Acquisition team to understand vehicle requirements and sourcing strategies.
- Coordinate with the team to determine the types of vehicles needed, quantities, and delivery timelines.
- Provide input on specific vehicle preferences based on customer demand and market trends.
- Act as a liaison between the operations office and the Vendor Acquisition team, ensuring effective communication and collaboration.
Driver Management:
- Recruit, train, and manage a pool of drivers to ensure adequate staffing for customer demands.
- Monitor driver performance, adherence to company policies, and provide necessary coaching or disciplinary action when required.
- Schedule drivers' shifts and assignments, optimizing resources to meet customer needs efficiently.
- Ensure drivers are equipped with necessary licenses, permits, and knowledge of local traffic regulations.
Document Verification and Invoicing:
- Verify customer identification documents, driver's licenses, and credit card information for security and legal compliance.
- Prepare rental agreements, invoices, and other necessary documentation accurately and in a timely manner.
- Collaborate with the accounting department to reconcile rental transactions, resolve discrepancies, and process payments.
Payment Follow-up:
- Monitor and track rental payment statuses, following up with customers for any outstanding payments.
- Communicate with customers regarding payment reminders, overdue balances, and resolve billing inquiries or disputes.
- Collaborate with the finance team to ensure accurate recording and reporting of rental revenues and expenses.
